OSSU Course Curriculum - OfficeMate
OfficeMate Software Solutions University (OSSU) features live, online affordable courses for clients who want to focus on specific topics or modules in OfficeMate, ExamWRITER, and iPoint VTO. Our virtual courses are taught via the Web by knowledgeable staff instructors. You observe exactly what our trainers are doing while listening to their live step-by-step narratives from the convenience of your home or office. OSSU 101 Introduction & Implementation(Prerequisite for all courses.)
This course is a private introduction with the owner of your OfficeMate Suite software or key staff members to learn more about the OSSU and Client Services departments. This course marks the beginning of your training process and provides you with a quick overview of OSSU iCoach courses and iTrain videos, helps you understand the OfficeMate Software Solutions’ Client Services’ guidelines, informs you about what you can expect from OSSU iCoach trainers and Client Services Representatives, and instructs you on how to access the various help tools available in the OfficeMate Suite. This course is approximately 45 minutes in duration.
Post Training Task List
This course will teach you how to use financial and production groups and procedure codes for billing to generate productive reports in OfficeMate. You will also learn how to add and customize all products (with a special focus on ophthalmic lenses). The information learned in this class can be applied in OSSU 300-1. This course is approximately 1 hour in duration and covers the “Getting Started” and “Maintaining Product & Service Information” chapters in the OfficeMate User's Guide.
This course will teach you setup strategies for your OfficeMate program. You will learn how to add providers and staff members, set up default preferences, customize your Appointment Scheduler, and use the Quick List. This course is approximately 1 hour in duration and covers the “Getting Started,” “Scheduling, Moving, & Cancelling Appointments,” and “Using To Do & Quick Lists” chapters in the OfficeMate User's Guide.
This course will teach you how to create and update a patient’s demographic record; schedule, reschedule, and cancel appointments; and use the Patient Quick List. This course is approximately 1 hour in duration and covers the “Creating, Modifying, & Deleting Patient Records,” “Scheduling, Moving, & Cancelling Appointments,” and “Using To Do & Quick Lists” chapters in the OfficeMate User's Guide.
This course will teach you how to create a fee slip for a patient and understand the relationship between products and fee slips. You will learn how to create fee slips, bill insurance, change and void fee slips, create charges from Rx orders, and post receipts. This course is approximately 1 hour in duration and covers the “Creating & Recording Fee Slips” and “Recording Receipts & Adjustments” chapters in the OfficeMate User's Guide.
This course will teach you how to create Rx lab orders with and without ExamWRITER, update lab orders, create open charges to post on fee slips, and correctly select information and add-ons for frames and lenses. This course is approximately 1 hour in duration and covers the “Ordering & Tracking Prescriptions” chapter in the OfficeMate User's Guide.
This course will optimize your use of the OfficeMate inventory tracking system and guide you through the steps necessary to process a physical inventory count. OfficeMate’s perpetual inventory system tracks all of the items that you have in stock and updates your inventory when a product is purchased, sold, or returned. Training will also be provided for using purchase orders to utilize OfficeMate reports effectively. This course is approximately 1 hour in duration and covers the “Maintaining Inventory” chapter in the OfficeMate User's Guide.
This course will teach you how to process bills electronically through the third party processing module in OfficeMate. You will learn about the benefits of using the third party processing module to automatically check your insurance claims for errors, complete required fields on the CMS 1500 form, correct errors, and process your claims electronically. This course is approximately 1 hour in duration and covers the “Processing Insurance Claims” chapter in the OfficeMate User's Guide.
This course will teach you how to print CMS 1500 forms in third party processing module of OfficeMate. You will learn about the features of processing paper insurance claims and print images and the benefits of using the third party processing module to manage all of your insurance claims. This course is approximately 1 hour in duration and covers the “Processing Insurance Claims” chapter in the OfficeMate User's Guide.
This course will instruct you on how to post patient and insurance payments, record adjustments, record chargebacks, record transfers, return and refund items, view transactions in the Patient Ledger, and use the Receipt History window. This course is approximately 1 hour in duration and covers the “Recording Receipts & Adjustments” and “Using the Patient Ledger” chapters in the OfficeMate User's Guide.
This course will teach you how to add and remove available reports in OfficeMate. We will also discuss the types of reports that are available, as well as OfficeMate’s recommendations for processing reports. This course will also instruct you on how to process correspondence for your patients. The iCoach trainers will discuss the types of documentation you can create in OfficeMate and explain how the Correspondence History tab updates in patient demographic records. This course is approximately 1 hour in duration and covers the “Creating & Printing Reports, Statements, & Graphs” and “Printing Correspondences” chapters in the OfficeMate User's Guide.
This course will teach you how to properly set up the OfficeMate VSP interface. You will learn how to map products and obtain VSP member eligibility and authorization information. In addition, you will also learn how to create and record VSP lab orders, create and record fee slips, and submit insurance claims to Eyefinity through the VSP Third Party Processing window. This course is approximately 1 hour in duration and covers content in the OfficeMate VSP Interface Handbook.
